Manage Application Roles
An application role inherits a set of privileges that helps a set of users/members see and access specific screen (s) or data, after signing in to the application. As an administrator, you can limit the application access (or screen access in the application) by creating an application role and assigning members to it, whom do you want to provide access. You can assign a single member to one or more application roles depending on your business requirement.
This application has following predefined application roles with specified permission to certain screens. You can add members to these roles, whom you want to be assigned with certain privileges based on their organizational roles.
When members who assigned with these roles, they can get view access to the records associated with their organizations, create, view and edit access to records created by themselves and customized access to records assigned to them.

| Administrator | It allows the members to get access to all screens and functionalities given in the application. |
| Internal User | Whenever a new internal user is created, the user will be added to this role. It allows the members to access the Internal Users page and, in that user’s, own record will be displayed with view access. |
| External User | Whenever a new external user is created, the user will be added to this role. It allows the members to access the External Users page and, in that user’s, own record will be displayed with view access. |
| Internal Custodian for Int Org | With this role, users can manage internal users. It allows members to access the Internal Users page with all permissions on the records displayed in the page. Also, it allows to get access to the Bulk Uploads page to view and manage bulk import of inter users into the application. |
| Internal Custodian for Ext Org | With this role, internal users can manage external users in the external organization to which they are assigned as Custodian. It allows members to access the External Users page with all permissions on the records displayed in the page. Also, it allows to get access to the Bulk Uploads page to view and manage bulk import of external users into the application. | Internal Custodian for both Int & Ext Orgs | With this role, internal users can manage both internal users and external users to which they are assigned as Custodian. It allows members to access Internal Users and External Users pages with all permissions on the records displayed in the page. Also, it allows to get access to the Bulk Uploads page to view and manage bulk import of internal and external users into the application. | External Custodian | With this role, users can manage external users within their external organization. It allows members to access the External Users page with all permissions on the records displayed in the page. Also, it allows to get access to the Bulk Uploads page to view and manage bulk import of external users into the application. | Reporting Manager | It allows the members to access the Reports page in order to view and generate custom reports. |
Update Predefined Application Role and Add Members To It
You can update a predefined application role for modifying its active state, role owners and managers and description. You can also add or remover members from this role based on your organizational needs.
To update a predefined application role:
- On the menu, click the ADMINISTRATION tab and then click Security.
- Click the Application Roles tile. The Application Roles page displays.
- Select the role that you want to update and then click Edit.
- Provide the following fields and click Save.
- Role Name: Enter the name of the application role.
- Owner: Specify the owner for this application role. Use the Browse button to browse the name of the user whom you want to designate as the owner of the role from the Role Owners Search pop-up window. Select an owner and select Ok.
- Primary Manager: Specify the primary manager for this application role. Use the Browse button to browse the name of the user whom you want to designate as primary manager of the role from the Primary Manager Search pop-up window. Select a manager and select Ok.
- Secondary Manager: Specify the secondary manager for this application role. Use the Browse button to browse the name of the user whom you want to designate as secondary manager of the role from the Secondary Manager Search pop-up window. Select a manager and select Ok.
- Active From: Select or enter the date on which you would like to set the role active from.
- Active To: Select or enter the date on which you would like to deactivate the role.
- Role Description: Enter the description for the application role.
- Notes: Enter the additional information or other comments about the application role.
To add member (s) in a predefined application role:
- Select the role in which you want to add members and then click Edit.
- In the Members Assigned section, click the button. Select the members in the Users Search popup window and then click Save.
- Select the role in which you want to remove member and then click Edit.
- In the Members Assigned section, click the button on the member record whom you want to remove from the role.
